This policy explains what personal data Sunset Griffin Godo Kaisha collects through this website, why, and what choices you have about it. We aim to collect only what's needed to respond to enquiries and, where you consent, to understand how the site is used.

What we collect and why

• Contact form data: name, email, and any message you provide, collected when you submit the form. Used solely to respond to your enquiry.
• Cookie and analytics data: collected only where you have given consent, and used to understand general usage patterns on the site.
• Legal basis: contact data is processed on the basis of your consent when submitting the form; analytics data is processed on the basis of the cookie consent you provide.
• Retention: enquiry data is retained only as long as needed to respond and, where an engagement follows, for the duration of that engagement and applicable record-keeping periods.

How your data is used

• To respond to enquiries submitted through the contact form.
• To improve the site, where analytics consent has been given.
• We do not sell personal data to third parties.
• We do not send marketing communications unless you have separately agreed to receive them.

Information about a client's company and product

Once an enquiry becomes an engagement, most of what we receive is business information rather than personal data: product specifications, current pricing abroad, distribution arrangements in other markets, and the targets a company has set for Japan. It is used only for the assessment, comparison or preparation that was agreed, and it is never used as an example or benchmark in work for another client.

The names, roles and contact details of the people we work with on the client side are kept with the engagement file so that correspondence and working sessions can be arranged.

People named in partner preparation

Local partner preparation involves looking at prospective distributors or agents in Japan. The profiles we prepare draw on published company information, and where they name a representative, that name comes from a public source such as a company registry entry or a trade directory. We do not contact prospective partners or collect information about them by approach, and we do not share the client's plans with them.

Clients outside Japan

Many of the companies we work with are based outside Japan, so correspondence and reports travel abroad. Under the Act on the Protection of Personal Information, personal data may be provided to a recipient in another country when the person concerned has agreed after being told the country and how that country protects personal information. Before an engagement starts we tell the client which countries are involved and ask for that agreement for their own team's details.

How long we keep it, and how to ask

Engagement files are kept for five years after the final report, because a company that climbs the next terrace often asks us to compare the new position with the earlier findings. Enquiries that did not lead to an engagement are deleted after one year. Notes from working sessions

Notes taken during working sessions are shared with the client team after each session and kept with the engagement file under the same retention period.
